Step-by-step help for Brother DCP-L2540DW Printer Offline.
What to check when your DCP-L2540DW shows offline
If your Brother DCP-L2540DW appears as Offline, your computer may be unable to communicate with the printer even though the machine itself is turned on.
The cause can depend on whether you use the printer through USB, Ethernet or Wi-Fi, so first identify which connection you are troubleshooting.
Start with the printer itself
Before changing computer settings:
- Make sure the DCP-L2540DW is turned on.
- If the display is blank, press a button to check whether the machine is in Sleep mode.
- Check the display for an error message.
- Make sure paper is loaded.
- Check for a paper jam.
- Check whether the machine is reporting a toner or drum-related problem.
If the printer displays an error, resolve that condition before troubleshooting the connection.
Check how the printer is connected
The DCP-L2540DW supports different connection methods.
If using USB:
- Check the cable at both ends.
- Connect the printer directly to the computer rather than through a USB hub while troubleshooting.
- Try another USB port if necessary.
If using Ethernet:
- Check that the Ethernet cable is connected to the printer and router or network equipment.
- Check the printer’s network configuration and IP address.
If using Wi-Fi:
- Make sure the printer is still connected to the wireless network.
- Check whether your network name or password has recently changed.
- Make sure your computer is connected to the appropriate network.
Clear stalled print jobs
A stuck print job can prevent later documents from printing.
Open the print queue for the DCP-L2540DW and cancel jobs that are stuck or no longer required.
After clearing the queue, try printing a simple document again.
Make sure the correct Brother printer is selected
Your computer may contain more than one installation of the DCP-L2540DW.
This can happen after:
- Reinstalling the printer driver
- Changing USB ports
- Reconfiguring the printer
- Adding the printer more than once
If you see multiple DCP-L2540DW entries, identify the one that is actually communicating with the printer and select it when printing.
Where appropriate, set the working printer installation as your default printer.
Check Offline or Paused status in Windows
On some Windows versions, the print queue can be manually placed into an Offline or Paused state.
Open the DCP-L2540DW print queue and check the printer settings.
If Use Printer Offline or Pause Printing is enabled, disable the setting and try printing again.
The exact menu location can differ between Windows versions.
Printer is connected to Wi-Fi but still appears offline
If the printer itself is connected to Wi-Fi but your computer cannot print:
- Restart the printer.
- Restart the computer.
- Restart the router if appropriate.
- Confirm that the computer and printer are connected to the appropriate network.
- Check whether the printer’s IP address has changed.
- Make sure the correct Brother printer installation is selected.
- Try printing again.
If you recently changed your router, internet provider, network name or Wi-Fi password, you may need to configure the printer’s wireless connection again.
Check security software
On a network connection, firewall or security software can sometimes interfere with communication between the computer and printer.
If the printer is connected to the network but remains unavailable, check whether your security software is preventing Brother software from communicating with the machine.
Do not permanently disable your security software simply to make the printer work. Use the appropriate firewall or application permissions instead.
Printer works but Brother Status Monitor says Offline
If you can print normally but Brother’s Status Monitor still displays Offline, the problem may be with the printer being monitored rather than the printer connection itself.
If multiple Brother printer drivers are installed, make sure Status Monitor is monitoring the same working DCP-L2540DW installation you actually use for printing.
Restarting Status Monitor after selecting the correct device may also update its status.
Restart before reinstalling
If the printer is still unavailable:
- Turn the printer off.
- Restart the computer.
- Restart your router if you are using a network connection and other checks indicate a network problem.
- Turn the printer back on.
- Wait for it to become ready.
- Try printing again.
Do not immediately reinstall the Brother software if the printer worked previously. First rule out the printer status, connection, print queue and duplicate printer installations.
When should you reinstall the software?
Consider reinstalling the Brother software if:
- The computer no longer recognizes the printer correctly.
- The correct printer driver cannot be found.
- The printer works from another computer but not this one.
- The connection is working but the installed printer configuration appears damaged.
Use Brother’s current software for your operating system rather than downloading drivers from an unofficial source.
